Admission Office Manager

Description
The Admission Office Manager serves as the initial contact for families and educational consultants who are interested in exploring and applying to Fay and provides support through the acceptance and enrollment of new students. The Office Manager is responsible for the administrative processes of responding to inquiries, proactively assisting families in completing applications, organizing Admission Committee meetings, and managing the communication of admission decisions. The Office Manager will also organize and assist with Fay’s yield and enrollment processes. This position provides personal administrative support to the Director of Admission and general administrative support to the Admission Office staff. Ability to work in a fast-paced environment where a high quality of customer service and attention to detail are expected. Also required: high-level computer literacy, proven problem-solving and project management skills, the ability to exercise independent judgment and prioritize tasks and deadlines, strong cross-cultural communication skills, the ability to work collaboratively, and to handle confidential information with discretion.
 
Qualifications
  • Candidates should have at least five years’ experience in an administrative support, project management, or similar role.
  • The ability and willingness to be trained in admission office software essentials is required. A bachelor’s degree and database management experience are preferred. Candidates are expected to have excellent written and verbal communication skills, be well organized, and be able to work independently. Proficiency in Microsoft Office applications and Google suite applications is expected.
 
Responsibilities include:
  • Being the first point of contact for prospective families and educational consultants inquiring and applying to Fay School, including answering and directing incoming calls and managing the admissions office email address. Providing information and support to prospective families from around the world and throughout the US with excellent customer service from initial inquiry through enrollment.
  • Inputting data and extracting information from Admission Office databases and spreadsheets in order to track applicants’ progress, facilitate event and screening planning, and provide reporting to school administrators.
  • Act as the administrative assistant liaison for Board of Trustees committee meetings. Record, edit, and finalize committee meeting minutes.
  • Manage the scheduling of, preparation for, and processing of decisions for Admission Committee meetings.
  • Managing the Director of Admissions schedule and travel, and the Travel Planning Grid for the department by entering event details, estimating and monitoring travel expenses, and posting event information on Fay’s website.
  • Managing the office schedule of staff meetings, tours and interviews, and prospective family visitors, including group and individual screenings and assessments. 
  • Planning and implementing all on-campus and virtual Admission Office events. Attending selected events as required on evenings and weekends. 
  • Create, manage, and update each student’s electronic record in Final Site; download SAO and Gateway applications, access program applications, and standardized test scores.
  • Liaise with the Registrar to ensure enrollment contracts are sent and monitor to ensure that enrollment and deposit deadlines are met.
  • Liaise with the Data Manager to complete annual updates to the applications (FinalSite, SAO, and Gateway), ensure systems’ functionality matches current requirements, and to ensure Admission enrollment records are continually updated and accurate in accordance with School Data Managers guidelines.
  • Perform office manager tasks, including but not limited to: shipping materials via USPS and DHL, monitoring inventories of printed materials and promotional items, ordering office supplies and materials, stocking the living room and office, reconciling office expenses, monitoring budget and completing check requests, and entering Facilities requests.
